If you have experienced a flight delay or cancellation, you are often entitled to compensation. In some cases, you are also entitled to have expenses for food, drinks, accommodation, and transport to/from the airport covered.

However, it can be difficult to understand what and when you are entitled to have your expenses reimbursed.

 

Below, we have gathered some of the most important things you need to know about your rights to have expenses for food, drinks, transport, and accommodation reimbursed.

 

What are my rights in the event of a flight delay?

You are generally entitled to compensation for a flight delay when your departure is delayed by more than 3 hours. However, there are certain rights you should be aware of as soon as your flight is delayed by 2 hours.

 

After a 2-hour delay, you have the right to:

  • Communications: Send emails from an internet connection provided by the airline.
  • Phone Calls: Make two phone calls from a line provided by the airline.
  • Refreshments: Receive refreshments if you are flying a shorter distance (under 1,500 km).

 

Your right to refreshments during flight delays and cancellations

If your flight is delayed, the airline must offer you free food and drinks when:

  • You are delayed by 2 hours, and your flight is under 1,500 km.
  • You are delayed by 3 hours, and your flight is within the EU and over 1,500 km.
  • You are delayed by 4 hours, and your flight is outside the EU and over 3,500 km.

 

If the airline has not provided this, and you have incurred expenses for meals, you can expect to be reimbursed for meals within a reasonable price range. In a Danish airport, this is typically 10 to 17 EUR per person. You cannot be reimbursed for alcohol, cigarettes, and expensive food items. Therefore, it is important to keep your purchases within a reasonable amount, as otherwise, you may be denied reimbursement and have to cover the cost yourself.

 

When you pay for food and drinks yourself, it is also crucial to keep all receipts so you can get the amount refunded by the airline.

 

Your right to accommodation during flight delays

If a delay extends over a long period or occurs in the evening, requiring an overnight stay, you can request that the airline covers the cost of hotel accommodation and transport to and from the hotel. If the airline does not proactively book you into a hotel, it is important to choose a reasonably priced hotel; otherwise, the airline may refuse to reimburse your expenses or only agree to cover part of your accommodation costs.

 

There are no strict guidelines for when a delay or cancellation entitles you to hotel accommodation. Typically, it will be if your flight is delayed late into the evening or if there is no scheduled boarding time, allowing you to stay overnight at a hotel near the airport.

 

If your flight is cancelled or delayed, you can often consult the airline's staff at the airport or through their customer service. We always recommend trying to contact an airline representative before checking into a hotel. The airline employee can inform you when you can board another flight and guide you on which hotel to choose to ensure your reimbursement.
